**Preferences** are organization-wide configuration values that apply to all users. Administrators set them once in the Admin Center: click your organization name at the bottom of the sidebar → **Manage Organizations** → your organization → **Preferences**, then click **Update**. Individual fields are described below by section, in the order they appear on the page.

## Regional settings

| Setting | Description |
|---|---|
| **Currency** | The organization's base currency. Used as the reference for all exchange rate conversions and internal cost calculations. Set from the organization's active currencies. |
| **Number format** | How numeric values are displayed in the UI and on documents. Options: `1,234,567.89`, `1.234.567,89`, `1 234 567.89`, `1 234 567,89`, `1234567.89`, `1234567,89`. |
| **Date format** | Display format for dates throughout the application. |
| **Time format** | 12-hour or 24-hour clock display. |
| **Paper size** | Page size for printed documents: A4, Letter, Legal, or Tabloid. |
| **Language** | The organization's default language: English, Japanese, or Vietnamese. Individual users can override this in their profile. |
| **Time Zone** | Organization's local time zone. Used to timestamp document creation, scheduler runs, and audit entries. Individual users can override this in their profile. |

## Synchronize item

These settings control how product data from the Library is mapped to Inventory Item fields when **Push to Item** is run.

| Setting | Description |
|---|---|
| **Name with Product** | Which product field becomes the item name: `Designation` (the product's full description) or `Number` (the manufacturer article number). |
| **Order code with Product** | Which product field becomes the item's vendor order code: `Designation`, `Number`, or `Order code` (from the product's ISO 13399 data). |
| **Default internal category** | The internal category automatically assigned to newly synced items when no category is specified. Optional. |

## Inventory preferences

| Setting | Description |
|---|---|
| **Item Locations** | **Show empty Favorites Locations**: when checked, an item's locations list also shows every storage location that has a stock rule for the item, even when it holds zero stock. Useful for guided putaway to fixed slots. |
| **Inventory Scheduler** | How often the Inventory Scheduler automatically checks stock rules and generates purchase requests. Options: `Off`, `Daily`, `Weekly`, `Monthly`. It runs at the last minute of the period in local time. Click **Run** to run it now. See [How automatic replenishment works](https://support.toolingmetrics.com/en/inventory/overview/automatic-replenishment/). |
| **Restrict storage locations base on item condition and stock rules** | Two checkboxes. **Purchase Restock**: when checked, a purchase restock can only put an item into a location that has a stock rule for it with a matching condition (*Brand new* or *Unused*; *Refurbished* or *Unused* for service orders). **Return List**: when checked, a return can only put an item into a location that has a stock rule for it with the condition *Used*, *For service*, or *For scrap*. When unchecked, any location in the warehouse access point can be chosen. |

## Purchase preferences

| Setting | Description |
|---|---|
| **Transaction Item** | Which item statuses can be added to a purchase order. `Released and Active`, `Released, Active, and Will obsolete`, or `All Items except Draft`. |
| **Automatic Purchase** | What is created automatically when a purchase order is confirmed. `Purchase Receipt & Purchase Restock` creates both. `Purchase Receipt` skips the Restock. `Purchase Restock` skips the Receipt. `Off` creates neither. See [How automatic replenishment works](https://support.toolingmetrics.com/en/inventory/overview/automatic-replenishment/). |
| **Locked Confirmed Orders** | When checked, purchase orders are locked automatically when they are confirmed, so they cannot be edited. Protects sent orders from accidental changes. |
| **Service Orders** | **Automatic creating Service Pick**: when checked, confirming a service order automatically creates the service pick for its items. |
| **Purchase Order rules are stock rule with selected item conditions** | Which stock rules the Inventory Scheduler uses to generate purchase orders. `Brand new` uses only stock rules for *Brand new* items; `Unused` uses stock rules for *Brand new*, *Refurbished*, and *Unused* items. |

## Engineering preferences

| Setting | Description |
|---|---|
| **Central Tool Assemblies Library** | The tool assembly statuses included in the organization's tool library and in exports to CAM software. |

## Production preferences

| Setting | Description |
|---|---|
| **Pickable Cutting Edge Conditions** | The cutting edge conditions a tool's cutting edges must be in for the tool to be picked into a machine on a picklist or tool transfer. |
| **Incomplete Tools** | **Allow picking incomplete tools into a Machine**: when unchecked, only tools whose cutting edges are all complete can be picked. |
| **Restrict what can be picked based on machine interfaces** | **Tool**: when checked, only tools that fit the destination machine's interface can be picked or transferred to it, and a job's operations only offer tool assemblies that fit the job's machine. |
| **Tool Auto-update when** | **Validate Stock Moves**: when checked, validating a pick, return, or scrap updates the tool's completeness and each cutting edge's current index, usage life, and condition. |
