Inventory adjustments

Adjustment document fields and available line types.

Updated

An Inventory Adjustment corrects or initializes inventory quantities against a physical count, outside of normal picking and restocking flows. It covers two situations through the same document: loading opening stock for a newly set-up Storage Device or Warehouse Access Point, and reconciling an already-stocked location against a physical count.

Field Description
Number Auto-generated from the Adjustments sequence.
Storage Type Storage Device or Warehouse Access Point — what kind of source is being counted. Cannot be changed after creation.
Storage Name The specific device or access point being counted. Cannot be changed after creation. Locked sources are not offered: an adjustment cannot move to Waiting/Ready while another adjustment for the same source, for its Warehouse Access Point, or for one of its Storage Devices is already Waiting or Ready.
Status See Status flow below.

For a location with no existing recorded stock, lines are added manually. For a location with existing stock, one line per item-and-storage-location combination is generated automatically when the adjustment is opened.

Field Description
Item The item being counted.
Storage Location The specific location within the source.
Expected Quantity Read-only. The system’s recorded quantity at that location when the form loaded — a snapshot, not re-checked live until Mark as Todo.
Counted Quantity The physically counted quantity. Pre-filled to match Expected Quantity (no change) on auto-populated lines.
Quantity to Adjust Computed: Counted − Expected.
Unit Cost Editable only when Quantity to Adjust is positive (defaults to the item’s current cost); disabled when zero or negative, in which case the item’s existing cost is used.
Status Description
Draft Lines are being entered. No inventory impact yet.
Waiting Requested via Mark as Todo, but at least one decrease line exceeds what the system currently thinks is at that location.
Ready Requested via Mark as Todo, and every line resolved against current availability.
Done Validated. On-hand quantities and cost updated permanently; the adjustment can no longer be edited or deleted.
Cancelled Adjustment was discarded. No inventory impact.

Validating a Ready adjustment updates each affected item’s on-hand quantity by the signed Quantity to Adjust and recalculates its weighted-average cost. A line that reduces on-hand to exactly zero resets that item’s cost to zero. An increase can silently move a Draft/Released item to Active; a decrease to zero can silently move a Will obsolete item to Obsolete.
