Define stock rules

Configure where each item is stored per condition and set the quantities that trigger automatic replenishment.

Updated

Prerequisites: Items exist in your inventory. At least one storage location is configured in a storage device.

Required permission: Inventory → Stock Rules — User or above. Admins can edit any stock rule; Managers and Users only the stock rules they created.

  1. In the sidebar, click Inventory → Stock Rules.
  2. Click + Create.
  3. Select the Item this rule applies to.
  4. Set the Item Condition — the item condition this rule governs (Brand new, Refurbished, Unused, Used, For service, For scrap).
  5. Select the Storage Location where items matching this condition should be stored. A single item cannot have two rules pointing at the same storage location.
  6. Enter the Threshold Quantity (reorder point) and Max Capacity (target level). The Inventory Scheduler uses these values to generate purchase, transfer, or scrap requests when stock reaches the threshold.
  7. Click Create.

The purchase vendor and pricing for a Brand new/Refurbished/Unused rule come from the item’s own Vendor, Order Code, and Purchase Price — not from the rule. For a For service rule, they come from the item’s Service Vendor, Service Order Code, and Service Price. Set these on the item before relying on the rule to auto-generate requests. See Items Reference.

The Inventory Scheduler checks all stock rules against current inventory levels and generates draft purchase requests, transfers, or scrap lists for items that reach their Threshold Quantity.

  1. Open the organization menu at the bottom of the sidebar and click Manage Organizations, then open your organization.
  2. On the Preferences tab, under Inventory Preferences, click Run next to Inventory Scheduler.
  3. Review the generated draft purchase orders, transfers, or scrap lists. Edit line quantities if needed, then confirm.
  • The scheduler also runs automatically on the interval selected in the same Inventory Scheduler field (Off, Daily, Weekly, or Monthly).
  • A single item can have multiple stock rules — one per condition, storing each condition in a different location.
  • Items without a stock rule will not be included in automatic replenishment runs.
