Purchase restocks
Restock document fields and how put-away locations get assigned.
A Purchase Restock guides moving received items from the receiving dock into their storage locations. Depending on the organization’s Automatic Purchase preference, a restock is created automatically when its Purchase Order is confirmed — not when the receipt is validated — or you create one manually with New Restock from the Purchase Order.
Document fields
Section titled “Document fields”| Field | Description |
|---|---|
| Number | Auto-generated identifier. |
| Purchase Order | The order this restock is linked to. |
| Restock To | The Warehouse Access Point where the put-away work happens. |
| Scheduled Date | Defaults to the PO’s Expected Arrival date. |
| Weight | Total weight of the restock’s lines; calculated, editable. |
| Status | See Status flow below. |
Line fields
Section titled “Line fields”| Field | Description |
|---|---|
| Item | The item being placed. |
| To | The destination storage location for this line. |
| UoM | Unit of measure for the line. |
| Ordered / Received | Quantities carried over from the PO line, for reference. |
| Restocked | Total already put away against this PO line before this restock, for reference. |
| Quantity to Restock | Amount to put away on this line. |
Target location
Section titled “Target location”How a location ends up on a line depends on how the restock was created:
- Created automatically by the Automatic Purchase preference: the destination is chosen from the item’s stock rules for a normal-condition storage location (or Refurbished/Unused, depending on the organization’s “strict restock” setting), splitting a line across multiple locations and access points if one rule’s Max Capacity can’t absorb the whole delivery.
- Created manually with New Restock: the destination is blank on every line — you pick the storage location yourself from the ones available at the restock’s Restock To access point. It is not pre-filled from a stock rule.
If you rely on stock rules for guided put-away, make sure the Automatic Purchase preference includes Purchase Restock — otherwise every manual restock requires selecting locations from scratch. See Stock Rules Reference.
Status flow
Section titled “Status flow”| Status | Description |
|---|---|
| Draft | Being prepared. No inventory impact. |
| Waiting | Marked ready, but a line’s target location doesn’t currently have room to reserve the full quantity. |
| Ready | Every line is available to place. |
| Done | Validated. Items are recorded at their target locations and the PO’s Restocked total advances. |
| Cancelled | Discarded. No inventory impact. |
The action buttons are Mark as Todo / Check Availability (both move toward Ready) and Validate (Ready → Done).
What validating a restock does
Section titled “What validating a restock does”Adds each line’s quantity to the item’s on-hand stock at the destination location, and updates the linked PO line’s Restocked total. Once every line’s Received and Restocked both reach the ordered Quantity, the PO status advances to Done automatically — see Purchase Orders — Status Flow.
