Receive goods into storage
The full receiving journey — from the delivery at the door to every item in its storage location.
Prerequisites: A confirmed Purchase Order for the incoming delivery. Stock rules exist for the ordered items if you want restock locations pre-filled — see Notes.
Required permission: Purchase → Purchase Receipts and Purchase → Purchase Restocks — User or above. Admins can validate any receipt or restock; Managers and Users only the ones they created.
A delivery passes through two documents on its way into storage. The Purchase Receipt records what actually arrived; the Purchase Restock then guides the put-away. This guide walks the whole journey; each step links to the detailed guide for that document.
1. check the delivery against the order
Section titled “1. check the delivery against the order”- In the sidebar, click Purchase → Purchase Receipts and open the receipt for the delivery — or, if your organization doesn’t auto-generate receipts, open the Purchase Order and click New Receipt first.
- Count the physical delivery and adjust each line’s Quantity to match. For serialized items, assign a serial number to each unit.
- Click Mark as Todo, then Validate. On-hand inventory increases.
Details and partial-delivery handling: Process a purchase receipt.
2. put items away
Section titled “2. put items away”- In the sidebar, click Purchase → Purchase Restocks and open the restock for this receipt — or open New Restock from the Purchase Order if one wasn’t created for you.
- If the restock was auto-generated and stock rules exist for the items, each line’s To location is already filled in — verify it. Otherwise, choose the storage location for each line yourself.
- Bring the items to their locations and place them, then click Mark as Todo and Validate.
Details: Process a purchase restock.
3. confirm the order is closed
Section titled “3. confirm the order is closed”- Open the Purchase Order (Purchase → Purchase Orders). Once every line’s Received and Restocked quantities both reach the ordered quantity, its status is Done automatically. A status of Active means some quantity is still outstanding — open a further Receipt or Restock from the order when the rest arrives.
- Items are now available for pick lists and tool preparation, visible on the item’s Locations tab.
- Only an auto-generated restock pulls its target locations from stock rules — a manually opened restock always starts with blank locations regardless of whether a rule exists. Defining stock rules first makes automatic receiving repeatable and operator-independent.
- Both documents can be validated by different people — receiving at the dock and put-away in storage are often separate roles.
- To have the Receipt and Restock created for you automatically on Confirm, see Configure automatic purchase receipts and restocks.
