Configure automatic purchase receipts and restocks

Have confirming a purchase order create the Receipt and Restock documents for you, without skipping the storekeeper's validation.

Updated

Prerequisites: None.

Required permission: Admin Center access (organization owner or a member of the <org-name>-admins group).

The Automatic Purchase setting has the Receipt and/or Restock document created for you the moment a Purchase Order is confirmed, so nobody has to remember to open them. Out of the box it is set to Purchase Receipt & Purchase Restock. With it set to Off, confirming creates nothing else — a Buyer or storekeeper opens New Receipt (and later New Restock) from the order manually. It does not skip the manual Validate step on those documents — a storekeeper still counts the delivery and puts items away themselves.

  1. At the bottom of the sidebar, click your organization name → Manage Organizations.
  2. Click your organization’s name in the list. The Preferences tab opens by default.
  3. Find Automatic Purchase under Purchase Preferences.
  4. Choose what gets generated automatically on confirm:
    • Purchase Receipt & Purchase Restock — both documents are created.
    • Purchase Receipt — only the receipt is created; you still open New Restock yourself once it’s validated.
    • Purchase Restock — only the restock is created (rare; you’d still need to open New Receipt yourself first).
    • Off — nothing is created automatically.
  5. Click Update to save.
  • This setting only affects creation. The generated Receipt and Restock still start in Draft/Waiting status and need a storekeeper to validate them — see Process a purchase receipt and Process a purchase restock.
  • When Purchase Restock generation is on, restock lines are placed using the item’s stock rules automatically. A manually opened restock (when this setting is off, or partly off) always starts with blank target locations — see Purchase Restocks Reference — Target location.
  • The Service Pick for a Service Order is controlled by a separate preference, Automatic creating Service Pick (on by default) — see Set up automatic service pick and Service Orders Reference.
  • A related setting, Locked Confirmed Orders, automatically locks a Purchase Order against further edits once it’s confirmed. It’s independent of Automatic Purchase and found in the same Purchase Preferences section.
