An Item is an inventory record that tracks stock quantities, cost, and purchase/service information for a specific tool or material. An item is created either manually (Inventory → Items → + Create) or by syncing a Library Product to an item. A manually-created item has no Product link and no path to acquire one later — linking to a Product only happens through Sync. Items that require individual piece tracking are also marked Serialized; see Serialized items.
| Field |
Description |
| Number |
The item’s own reference code. Unique per organization. |
| Name |
Item name. Copied from the linked product’s designation on sync, or entered manually. |
| Description |
Locale-aware free text. |
| Product |
The Library Product this item was synced from, if any. Read-only — set only by Push to Item on the product, never editable on the item form. |
| Internal Category |
Category in the internal tree. Determines the item’s inherited cost allocation method if the item has no override. |
| Item Type |
Consumable or Durable. Set from the product’s cutting-item flag on sync, or chosen manually. A Consumable item cannot be Serviceable. |
| Unit of Measure / Purchase Unit of Measure |
Unit of measure for stock quantities, and for purchase order lines. Locked once the item has any stock move. |
| Barcode |
Barcode or data matrix string. Unique per organization. |
| Weight / Dimensions |
Physical weight and length/width/height, for packing and logistics. |
| Alternative Item |
Another item in the organization to suggest as a substitute. Self-referential; an item cannot reference itself. |
| Field |
Description |
| Serialized Item |
Whether individual physical units of this item are tracked as Serialized items rather than a bulk quantity. Can only be changed while the item’s status is Draft or Released — it is locked once the item reaches Active, Will obsolete, or Obsolete. |
| Can be Serviced |
Whether this item has a service workflow (the item is serviceable). Not available (and force-cleared) when Item Type is Consumable. Turning it off is blocked while any quantity is currently in For service condition. |
| Service Thresholds |
Present only when the item is both Serialized and Serviceable. Automatic service triggers evaluated per Serialized Item: Time Interval, Usage Cycles, Usage Time, Usage Cost, Remain Cost. |
| Field |
Description |
| On Hand |
Quantity physically in storage, across all locations. Updated the moment a move line completes. |
| Incoming |
Quantity on pending/in-progress inbound move lines (e.g., an open Purchase Restock). |
| Outgoing |
Quantity on pending/in-progress outbound move lines (e.g., an open Pick List). |
| Forecasted |
Computed: On Hand + Incoming − Outgoing. Not stored directly; recalculated whenever the underlying quantities change. The Inventory Scheduler compares the same forecast, per stock-rule location, to the rule’s Threshold Quantity. |
| In Circulation |
Quantity currently picked to a machine or assembly station — in circulation, outside storage. |
| Under Service Quantity |
Quantity currently out for service. |
| Total Quantity |
On Hand + In Circulation + Under Service Quantity — everything the organization owns regardless of where it currently sits. |
| Unit Cost |
Current weighted-average unit cost, recalculated by every Inventory Adjustment, Purchase Receipt, and Scrap validation. |
| Total Cost |
Computed: Total Quantity × Unit Cost. |
| Field |
Description |
| Vendor |
Preferred supplier for replenishment orders. Its currency determines the item’s default currency. |
| Order Code |
Vendor’s catalog number for this item. Printed on purchase orders. |
| Purchase Price |
Default unit price when creating purchase order lines. |
| Lead Time |
Expected delivery time from order to receipt, in days. Falls back to the vendor’s own lead time if blank. Used by the scheduler to date incoming orders. |
| Multiple Order Quantity |
Purchase order quantities generated by the scheduler (in the purchase unit of measure) are rounded down to a multiple of this number; a demand smaller than one multiple produces no line. Default 1. |
Only meaningful when Can be Serviced is on.
| Field |
Description |
| Service Vendor |
Preferred vendor for refurbishment. |
| Service Order Code |
Vendor’s service reference number. |
| Service Price |
Expected cost per service event. |
| Service Lead Time |
Expected turnaround time for service, in days. Falls back to the service vendor’s lead time if blank. Used by the scheduler to date service orders. |
| Multiple Order Quantity |
Service order quantities generated by the scheduler are rounded down to a multiple of this number, the same way as on the purchase side. Default 1. |
| Field |
Description |
| Usage Costing Method |
Override for this item: Fixed Rate, Unit Cost x Usage Rate in Percentage, Purchase Price x Usage Rate in Percentage, or Usage Time x Usage Rate per Hour. Leave it on Following categorical hierarchy to use the method the item’s Internal Category resolves to (the category’s own method, or its nearest ancestor’s). |
| Usage Rate |
Numeric parameter for the selected method. If blank, the rate the item’s Internal Category resolves to is used. |
| Status |
Description |
| Draft |
Newly created, not yet released for purchasing or use. Serialized can still be toggled. |
| Released |
Released via the Release action (Vendor, Purchase Price, Lead Time, Multiple Order Quantity set). Serialized can still be toggled. |
| Active |
In normal use. Reached automatically on Release if the item already has on-hand, in-circulation, or service quantity, or automatically once an Inventory Adjustment brings a Draft/Released item’s quantity above zero. |
| Will obsolete |
Scheduled for retirement but still holding stock. A request to mark an item Obsolete is silently downgraded to Will obsolete if it still has stock. |
| Obsolete |
Retired and out of stock. Reached automatically once a Will obsolete item’s stock is fully depleted by a move. |
A request to mark an item Active is silently downgraded to Released unless it already has at least one purchase order line and at least one move line.
