Create stock rules

Set threshold and capacity quantities for items so Tooling Metrics can draft purchase requests automatically.

Updated

Prerequisites: Inventory items exist. At least one storage location available in a storage device.
Required permission: Inventory → Stock Rules — User or above. Admins can edit any stock rule; Managers and Users only the stock rules they created.

A Stock Rule links an item to a storage location and defines the quantity boundaries that should be maintained there. When the forecast quantity at that location (on-hand plus incoming, minus outgoing) falls to the threshold or below, the Inventory Scheduler automatically drafts a purchase request to replenish it.

  1. In the sidebar, click Inventory → Stock Rules → + Create.
  2. Select the Item to be stocked.
  3. Select the Storage Location — the specific address within a storage device where this item lives.
  4. Set the Threshold Quantity. When the forecast drops to this level or below, a replenishment request is triggered.
  5. Set the Max Capacity. The replenishment order will bring stock up to this level.
  6. Set Item Condition to Brand new for stock you buy new. The form defaults to Unspecified, which the scheduler never evaluates.
  7. Click Create.

The stock rule is now active. The Inventory Scheduler runs at regular intervals and checks all active rules. When it finds an item at or below its Threshold Quantity, it drafts a purchase request and notifies the purchasing team.

You do not need to trigger replenishment manually — the scheduler handles it. To understand the full replenishment cycle, see How automatic replenishment works.

Create one stock rule per item per storage location. If the same item is stocked in two different locations (e.g., a fast-moving insert stocked in both the main crib and a secondary rack), create a separate stock rule for each location.

Your warehouse is set up with storage devices, a warehouse access point, inventory items, and stock rules. The Purchaser can now start the Purchasing series to add vendors and process the first purchase order.
